Cleanup & catch-up

What to do if your books are behind

Short answer: Being behind on your books is one of the most common situations we see — and one of the most fixable. The work is called catch-up (recording the months you’ve missed) and cleanup (fixing what’s wrong in the existing records). Neither is a reason for panic. There’s a clear, orderly process to get current, and once you’re there, staying current is straightforward.

If you’ve been avoiding your books because opening them feels overwhelming, this is for you.

First: it’s more common than you think

Falling behind rarely means anything went wrong with the business. It usually means the business got busy and bookkeeping — the task with no immediate deadline — kept losing to the tasks that did. By the time GST/HST or year-end forces the issue, there’s a backlog.

The important thing is that a backlog is a known, bounded problem. Someone can look at it, size it, and clear it.

What “behind” usually looks like

Catch-up and cleanup typically involve some mix of:

  • Months of uncategorised transactions sitting in the bank feed.
  • Unreconciled accounts — the bank or credit-card balance doesn’t match the records.
  • Miscategorised transactions — expenses in the wrong accounts, distorting reports.
  • Duplicate or missing transactions.
  • Missing receipts and source documents.
  • Personal and business expenses mixed together.
  • GST/HST that was never properly tracked, making returns hard to file accurately.
  • A chart of accounts that’s grown messy over time.

You might have one of these or all of them. That’s normal.

How the catch-up process actually works

Every file is different, but the order of operations is usually similar:

  1. Assess the backlog. How many months, how many accounts, what condition the file is in. This is where the size of the job becomes clear — and why a good bookkeeper wants to see the file before quoting.
  2. Gather the records. Bank and credit-card statements, loan documents, payroll records, and available receipts for the period.
  3. Record and categorise every transaction for the missing months, accurately and consistently.
  4. Reconcile each account to its statements so the balances are verified, not just entered.
  5. Fix the errors — duplicates, miscategorisations, and mixed personal/business items.
  6. Sort out GST/HST and payroll for the period, so filings can be brought current.
  7. Produce clean reports and a file you (and your accountant) can trust.

What happens after cleanup

The goal isn’t just to get current once — it’s to stay current. After catch-up, the sensible next step is a simple monthly rhythm: transactions recorded, accounts reconciled, and a short report each month. That’s the difference between an annual crisis and a quiet routine. Most owners find that once they’re caught up, keeping up is the easy part.

An honest note on scope

Two things worth being clear about:

  • A good bookkeeper won’t quote a firm price or turnaround without seeing the file. The backlog’s size and condition drive the effort, and a blind quote helps no one.
  • Not every issue can be resolved without review. Some problems — missing records, tangled prior-year entries — need a look before anyone can say how they’ll be handled. That’s not evasiveness; it’s honesty.

How to make it easier before you reach out

You don’t need to fix anything first, but it helps to gather what you have:

  • Bank and credit-card statements for the period you’re behind.
  • Any loan or financing documents.
  • Payroll records, if you have employees.
  • Access to your accounting software (or a note that you don’t use any yet).
  • A rough sense of when the books were last accurate.
