QuickBooks bookkeeping for Canadian small businesses

Short answer: QuickBooks Online is a capable platform for Canadian small-business bookkeeping — it handles bank feeds, reconciliation, invoicing, GST/HST tracking and reporting well. But the software only produces reliable numbers if the file is set up properly and maintained with a consistent routine. Most “QuickBooks problems” are really setup or maintenance problems, and they’re fixable.

Here’s how to use QuickBooks well.

Getting set up

A clean start saves a lot of cleanup later:

  • Set up your chart of accounts to match how your business actually works — not too sparse, not a sprawling mess. This is the backbone of useful reports.
  • Connect your bank and credit-card feeds so transactions flow in automatically.
  • Configure GST/HST for your situation (rate and filing frequency) if you’re registered.
  • Set your fiscal year and basic company settings correctly from the start.

The day-to-day routine

  • Review bank-feed transactions and categorise them to the right accounts. Don’t just click “Add” on everything — check first, because careless matching is how duplicates and miscategorisations creep in.
  • Attach receipts to transactions (QuickBooks’ receipt capture, or Dext) so the support is right there when you need it.
  • Keep invoices and bills current so your receivables and payables reflect reality.

Reconciliation: the step people skip

The bank feed is a convenience, not a reconciliation. To trust your numbers, use QuickBooks’ Reconcile tool to match your records to each bank and credit-card statement every month, and confirm the ending balances agree. Skipping this is the single most common reason a QuickBooks file drifts out of sync. See bank reconciliation explained.

GST/HST in QuickBooks

Once sales tax is set up, QuickBooks tracks the GST/HST you collect and pay and can produce a return-ready summary. It only works if the tax is applied correctly on transactions and reconciled to your books. For the bookkeeping side of sales tax, see GST/HST bookkeeping.

Reports worth checking monthly

  • Profit and Loss — are you making money, and where is it going?
  • Balance Sheet — what you own and owe.
  • A/R and A/P Aging — who owes you, and what you owe soon.

If a report looks wrong, it usually traces back to categorisation or an unreconciled account.

Common QuickBooks mistakes

  • Relying on the bank feed and never formally reconciling
  • “Adding” feed transactions without checking, creating duplicates
  • A chart of accounts that’s grown messy over time
  • Transactions parked in Uncategorized or Ask My Accountant
  • Sales tax set up incorrectly for the business
  • Mixing personal and business spending in the same file — see business vs personal expenses

These are the same issues a QuickBooks cleanup resolves.

When to get help

If your file has drifted, if reports don’t feel right, or if you’d simply rather not run the routine yourself, it’s worth a professional look. A well-maintained QuickBooks file is a genuine asset; a neglected one quietly misleads you.
