QuickBooks & Xero
QuickBooks vs spreadsheet bookkeeping for a small business
Short answer: A spreadsheet can be enough when your business is very small and simple — a handful of transactions a month, no payroll, maybe not yet registered for GST/HST. Accounting software like QuickBooks Online or Xero earns its keep once volume grows, because it connects to your bank, makes reconciliation reliable, tracks GST/HST, and produces trustworthy reports automatically. The moment your spreadsheet is hard to trust or keep current, it’s time to move.
What a spreadsheet does well
- Free or nearly free, and familiar.
- Fine for very low volume and simple record-keeping.
- Flexible for a quick income-and-expense log when you’re starting out.
For a brand-new side business with a few transactions a month, a well-kept spreadsheet is a reasonable start.
Where spreadsheets fall short
- No bank connection — every transaction is entered by hand, which is slow and error-prone.
- No real reconciliation — nothing checks your records against the bank, so errors go unnoticed. (See bank reconciliation explained.)
- Manual GST/HST — sales tax tracking is fiddly and easy to get wrong.
- Fragile — one wrong formula or deleted row can quietly break the whole thing.
- Weak reporting — producing a reliable profit-and-loss or balance sheet is manual work.
- Doesn’t scale — what’s manageable at 20 transactions a month is unmanageable at 200.
What QuickBooks (or Xero) adds
- Bank feeds pull transactions in automatically.
- Reconciliation tools that tie your records to each statement, so the numbers are verified.
- Built-in GST/HST tracking and return-ready summaries.
- Real financial reports — profit-and-loss, balance sheet, cash position — on demand.
- Receipt capture and document storage attached to transactions.
- Room to grow into payroll, multiple users, and more complexity.

Quick comparison
| Spreadsheet | QuickBooks Online / Xero | |
|---|---|---|
| Cost | Free / low | Monthly subscription |
| Bank feed | No | Yes |
| Reconciliation | Manual, unreliable | Built-in |
| GST/HST tracking | Manual | Built-in |
| Reports | Manual | Automatic |
| Scales with growth | Poorly | Well |
| Best for | Very small, simple | Growing, ongoing |
Signs it’s time to switch
- You have more transactions than you can comfortably enter by hand.
- You’re registered for GST/HST (or about to be).
- You’ve started payroll.
- You don’t fully trust your spreadsheet’s numbers.
- Year-end is a scramble to reconstruct the year.
If two or more of these ring true, moving to proper accounting software will save time and reduce risk.
Software alone isn’t bookkeeping
One important caveat: QuickBooks or Xero is a tool, not a bookkeeper. It only produces reliable numbers if it’s set up properly and maintained with a consistent routine — categorised, reconciled, and reviewed each month. Software makes good bookkeeping easier; it doesn’t replace it.
